Fixed-price migrations from on-premise Exchange, Google Workspace*, or legacy POP3/IMAP email to Microsoft 365*. Minimal disruption, MFA enabled from day one, users log in Monday to a tidier inbox and no missed meetings.
If a Microsoft 365* migration feels risky, it's usually because the previous time you (or your previous IT provider) did one, something went wrong. Half-migrated mailboxes. Lost calendar invites. Mobile devices that stopped syncing for a week. Users who still can't log in three days later.
Our weekend playbook is engineered to make all of that unlikely. Mailbox data is copied in the background in the days beforehand. Pre-flight checks on Thursday. The actual cutover (MX record change, client reconfiguration) happens on Friday evening when email volume is low. MFA enforcement and user-by-user validation on Saturday. Monday morning everyone logs in, Outlook* finds everything, and the only thing that's changed is the little cloud icon in the corner of the screen.
We've migrated SMBs from Exchange 2013 that no-one had touched in years. From Google Workspace* with Gmail* labels and nothing in folders. From legacy POP3 accounts with 15 years of email in local .pst files. From half-migrated environments abandoned by a previous provider. The playbook adapts; the outcome doesn't.
On-premise Exchange* is still common at SA SMBs who never got round to the move. Our standard approach: cutover migration for environments under 150 users, hybrid migration for larger or more complex ones. We also decommission the on-premise Exchange server afterwards if that's needed, so you're not stuck paying licensing or power on hardware you no longer use.
Usually driven by a business case for the broader Microsoft stack (Teams, SharePoint, Power BI*, Entra ID* for identity). We migrate email, calendars, contacts, and (where relevant) Drive content into OneDrive and SharePoint. Google calendar invites, Google Meet* links in old meetings, Google Groups aliases, all handled.
Often cPanel* or similar provider mail that was fine for a 5-person business but has stopped scaling. We migrate historical mail where possible, archive what's beyond migration, and set clients up with proper IMAP/Outlook configuration on day one.
Half-migrated environments abandoned by a previous provider. These are our favourite project because the fix is usually simpler than the client has been led to believe. A clear plan and a fixed scope tend to get a stalled migration over the line quickly.
A typical 25-50 user Microsoft 365* migration takes a weekend end-to-end: Thursday pre-flight checks, Friday evening MX cutover, Saturday MFA enforcement and user-by-user validation, then Monday morning users log in with our team on hand for support.
Larger migrations (100+ users, complex Exchange or legacy environments) run over 2-3 weekends in phased batches. The actual mailbox data transfer happens in the background over several days before the cutover. The weekend itself is just the final switch.
A standard Microsoft 365* migration for a South African SMB with 10-50 users costs between R15,000 and R45,000 as a one-time fixed project fee, plus ongoing Microsoft licensing (typically R118-R420 per user per month, from Business Basic to Business Premium).
We quote fixed-price after a 30-minute discovery call because scope varies dramatically, a migration from Google Workspace* is faster than from an on-premise Exchange server, and whether you need SharePoint migration, mobile reconfiguration, or MFA rollout changes the number. There is never a surprise invoice; whatever we quote is what you pay.
No. Our migrations are designed to keep disruption to a minimum. Email continues flowing to the old system during the migration, with mailbox data copied in the background. The cutover (MX record change) happens on Friday evening when email volume is low, and email sent during the brief changeover is queued and delivered once the cutover completes.
Users typically don't notice anything happened; they just log in on Monday to Microsoft 365* instead of their old system. The exception is calendar invites sent during the actual cutover window. We tell clients to avoid sending meeting invites on Friday evening.
Our standard Microsoft 365* migration includes: tenant setup and configuration, mailbox migration (email, calendars, contacts, rules), MX record cutover, mobile device reconfiguration for every user, MFA enrolment, SharePoint and OneDrive setup if included, security baseline (conditional access, anti-phishing, DKIM/DMARC/SPF), user training session on day one, and 30 days of post-go-live support for any issues directly related to the migration.
SharePoint intranet builds, Teams channel structure design, and Power BI setup are quoted separately as follow-on projects.
For most SA SMBs we recommend Microsoft 365 Business Premium* (R420 per user per month in late 2026). It includes everything in Business Standard (Outlook, Word, Excel, PowerPoint, Teams, SharePoint, OneDrive) plus Microsoft Defender for Business* (modern endpoint protection), Microsoft Intune* (device management), and Microsoft Entra ID P1* (conditional access and MFA enforcement). The security additions pay for themselves because they replace separate antivirus and MFA products you'd otherwise buy.
Business Standard (R284 per user per month) is reasonable if you have a strong existing EDR and MFA solution. Business Basic (R118 per user per month) includes Exchange email, Teams, OneDrive, SharePoint and the web and mobile Office apps, but no desktop Office apps, so it suits very small businesses or occasional users.
